Willmore Privacy Policy

Willmore helps Canadian households understand what they are paying for their bills and whether they are overpaying. This policy explains what information we collect, why we collect it, where it goes, and how you can remove it.
We have written this in plain language on purpose. If anything here is unclear, email us and we will explain it.
1. Who we are
Willmore is operated by 14297849 Canada Inc., operating as Willmore, based in Ontario, Canada. We are responsible for the personal information under our control.

2. What we collect
Account information
Your email address and password when you create an account. Passwords are stored in hashed form by our authentication provider. We never see your password.
Bill information
When you upload a bill, our system reads the document and extracts only the information needed to benchmark it:
the provider name
the service category, such as internet, electricity, insurance or property tax
the amounts charged, including line items, fees, equipment charges, taxes and discounts
the billing period, due dates and installment dates
usage figures printed on the bill, such as kilowatt hours or a time of use breakdown
plan details you confirm, such as whether your internet plan is unlimited or your insurance coverage level
Household information
So we can compare your bills against similar homes, we ask you for:
home type
home size range
number of occupants
province and the first three characters of your postal code
where relevant to a specific bill: heating type, number of vehicles, number of drivers
Feedback and waitlist entries
If you submit feedback or join a waitlist for an upcoming feature inside the app, we store what you wrote along with your account identifier and the date. If you choose to attach a screenshot to your feedback, we store that image too. Screenshots are optional, they are only ever uploaded when you attach one deliberately, and they are deleted along with your account.
Email sign-ups on our website
If you enter your email address on our website to be notified about launches or new features, we store that email address.
Contact form submissions
If you contact us through the form on our website, we receive the name, email address, phone number and message you choose to provide, so that we can reply to you. These submissions are also retained by our website host.
Technical information
Standard server and security logs, including IP address, browser type and timestamps, kept for security monitoring and troubleshooting.
3. What we deliberately do not collect
This section matters, so we are being specific.
We do not store your account numbers with your providers. Our extraction process is built to leave them out.
We do not store your name or service address from your bills.
We do not ask for or store banking details, credit card numbers, or your Social Insurance Number.
We do not use account numbers to recognise a repeat bill from the same provider. We match on provider and service category instead. This is a deliberate design choice that costs us some accuracy and gains you privacy.
We do not sell your personal information, and we do not share it with advertisers or data brokers.
We do not keep the bill document you upload. The image or PDF is read once and never saved. Only the figures extracted from your bill are kept.
4. Why we collect it
We use your information to:
read your bills and break them down into a clear summary
compare your bills against households with similar characteristics
flag where you may be overpaying, and generate a negotiation script based on your real figures
track due dates, payment status and promotional end dates
contact you about your account, and about the service if you have asked us to
keep the service secure and diagnose problems
We do not use your information for automated decisions that have legal or similarly significant effects on you.
5. How your bills are read, and where they go
When you upload a bill, the image or PDF is sent to an artificial intelligence service that reads it and returns the figures printed on it. The request goes to Lovable’s AI Gateway, which routes it to Google’s Gemini model. Lovable may use intermediary routing providers to reach the model.
We never save the file. The document is held in memory only for the length of that single request. It is not written to our database, and we operate no file storage. Once the figures have been extracted, the document is gone from our systems.
This does mean your bill document is transmitted outside Canada for processing. Our platform provider does not currently offer a Canadian region. While your information is in another country, it is subject to the laws of that country, including lawful requests for access by that country’s courts, law enforcement and government agencies.
What we do not control, stated plainly. Our platform provider keeps its own operational logs of the requests made through its AI gateway. Those logs may include the image of your bill. How long they are kept, and who inside those companies can access them, is set by their policies and not by ours. We have asked them for this in writing and will update this page when we have a definitive answer.
We have also asked our platform provider to exclude our data from being used to train AI models.
We would rather tell you what we cannot control than imply we control it.
6. Where your data is stored
Your account and the figures extracted from your bills are stored in our database, hosted by Lovable Cloud, which is built on Supabase, on servers located outside Canada. Our platform provider does not currently offer a Canadian hosting region.
We do not store the bills you upload. No bill image or PDF is held anywhere in our systems once the figures have been read from it. The only files we hold are screenshots you deliberately attach to feedback, and those are removed when you delete your account.

We share personal information only with service providers who need it to run Willmore, and only for that purpose:

8. How benchmarks work
When Willmore tells you how your bill compares to similar households, that comparison is calculated from other users’ bill figures in aggregate. Individual bills are never shown to other users, and no comparison identifies another household.
We require a minimum number of comparable bills in a group before we will show you a matched comparison. Below that threshold, we tell you plainly that we do not have enough data yet and fall back to a broader provincial figure. We do not invent numbers to fill a gap.
9. How long we keep it, and how to delete it
We keep your information for as long as your account is open.
Delete a single bill, and its extracted figures and any negotiation scripts generated from it are permanently removed.
Delete your account from Settings, and all of your bills, scripts, household information and feedback are permanently removed.
Deletion is a hard delete, not an archive. Once deleted, we cannot recover your data, and neither can you.
Our hosting provider keeps its own system backups for disaster recovery, and deleted information may remain in those backups for a period before they are cycled out. That window is set by them, not by us, and it is not published. Once we have it in writing, we will state it here.
10. Your rights
Under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:
Access the personal information we hold about you
Correct information that is inaccurate or incomplete
Withdraw consent to our use of your information, subject to legal and contractual restrictions and reasonable notice
Delete your information, which you can do yourself at any time from Settings
Ask questions about our privacy practices and receive an answer
To exercise any of these rights, email info@willmore.app. We will respond within 30 days.
11. Security
We protect your information using:
encryption of data in transit
row level security on our database, so your records are only accessible to your own account
server side authorisation checks on every request that reads or writes data
restricted administrative access
No system is perfectly secure, and we will not claim otherwise. If a breach occurs that creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.
12. Children
Willmore is not intended for anyone under 18, and we do not knowingly collect information from anyone under 18. If you believe a minor has created an account, contact us and we will remove it.
13. Cookies and analytics
We use cookies that are necessary to keep you signed in and to keep the service secure. These cannot be switched off without breaking the service.
We do not currently use advertising or tracking cookies, and we do not run advertising pixels such as the Meta Pixel or Google Ads tags.
If we add analytics or advertising tools in future, we will name them on this page, say what they collect, and give you a way to opt out, before they go live.
14. Affiliate relationships
Where Willmore suggests an alternative provider, we may earn a commission if you switch through our link. This applies to any such feature we offer now or add in future.
These commitments hold either way:
A commission never changes the figures we show you. Your comparison is calculated from real data, not from who pays us.
A commission never changes the order in which we present options, or which options we present. We do not rank by payout.
We label any link that earns us a commission, at the point where you see it.
We are not paid to feature, recommend or favour any provider.
We do not share your personal information with a provider unless you actively choose to proceed with them.
If a commission arrangement would ever require us to break one of these, we will not take it.
15. Changes to this policy
If we change this policy in a way that materially affects how we handle your information, we will notify you by email or through the app before the change takes effect. The date at the top of this page always shows the current version.
